Planning a Successful Social Event

August 26, 2018

Planning an event can be the most rewarding, but also a stressful experience.  There is so much to do with seemingly very little time to do it. However, there are simple steps that will help lead you towards a successful social event  Take a deep breathe and trust the process below:

1). Start with the basics

Do not get ahead of yourself! Start off with the most basic components of planning such as naming your event and securing a date and time.  Develop a proper budget, identify how many guests you will have, and prepare a marketing plan.

2). Secure your contracts

Confirm that your vendors are available when you need them and that they fit within your budget.  It is always a good idea to reconfirm their arrival times and responsibilities a week before your event.

3). Ask for help from volunteers

Do not be afraid to ask for help!  Volunteers are the key to a successful event.  Try to find help early and assign them tasks ahead of time so there is room for questions to be answered.

4). Create a list of needs

There may be certain items that are not covered by your vendors or volunteers.  Figuring out your needs will help make sure that you do not miss anything.

5). Do as much as you can ahead of time

Many things can be handled beforehand and can reduce your overall stress for the event,

6). Purchase last-minute items

Determine your last minute items and schedule your shopping so you can be efficient.  This especially includes perishable foods.

7). Arrive early

Being early allows you time to organize and prepare for the unexpected.

Do not be the person who enjoys the event the least.  Take pride in your work and relax.

9). Follow-up with your guests and vendors

This will help you gather valuable information that may help you with your next event.

10). Say Thanks!

The power of a thank-you note is often forgotten.  Send them to your vendors and donors because you could not have pulled this off without them!
